Below is a list of frequently asked questions from our partners about their partnership benefits. If you don’t find an answer to your question below, please do not hesitate to contact your dedicated partner manager, James Lloyd, via email or phone.

The following deadlines are for 2019 Summit and/or Confab. All deliverables should be submitted through the Health Evolution Partner Portal. Please note that not all deadlines apply to each partner; for questions about the benefits associated with your 2019 partnership, please consult your Health Evolution partnership agreement or contact your dedicated partner manager, James Lloyd.

The Brass Tacks discussions, available to Summit Partners and Evolution Partners, are a unique opportunity to host an interactive discussion among Summit participants focused on a notably challenging or opportunity-rich area of the industry. The guidelines below will ensure a successful Brass Tacks discussion that demonstrates your company’s expertise, thought leadership and key priorities while connecting Summit participants more deeply to collectively develop insights and relationships that influence the future.

Content Planning

  • Brass Tacks are most successful when they are intimate, interactive conversations that delve into the implications and unintended consequences of change, strategic considerations, implementation experiences and emerging market opportunities.
  • Brass Tacks offer the unique opportunity to identify where innovative companies are headed and to influence thinking so that your company is appropriately aligned with early outcomes and future potential. The Brass Tacks are not intended to focus on specific products or corporate solutions.
  • The following Summit participant quotes on Brass Tacks discussions underscore the importance of interactive Brass Tacks discussions:
    • “The Brass Tacks discussions were excellent. They allowed for a smaller forum and sharing. I would re-emphasize companies sponsoring should create a sharing, collaborative environment not an opportunity to present their company.”

Brass Tacks Format

  • A 60-minute interactive discussion held in either traditional meeting rooms or outside in a relaxed environment designed to encourage creative thinking.
  • The discussion will be set for an intimate group of 15-25 Summit participants (pending participant registration) in a circle without tables to facilitate interaction.

Facilitator and Industry Leaders

  • Facilitator: Brass Tacks are facilitated by a senior executive from your company to frame the discussion among industry action leaders and participants
  • Industry Leaders: Brass Tacks discussions typically include 1-2 CEOs or C-suite executives to help foster an interactive discussion among participants
    • Industry action leaders are executives from outside your organization and representative of the target audience to lend credibility to the discussion (i.e., typically payer or provider CEOs or c-suite executives.)
    • Proposed CEOs or industry action leaders need to meet Summit participation criteria (question 7) and be approved in advance by the Health Evolution Program team before an invitation is extended; once approved, an invitation will be extending on your behalf to that executive at a reduced-rate Summit registration fee or complimentary fee if you choose to cover their Summit registration expenses (please contact your dedicated Health Evolution partner manager, James Lloyd, if you wish to cover Summit registration fees for your Brass Tacks industry leaders)

Visuals

  • To ensure an unbiased and productive discussion among participants, an 11×17 “placemat” will be provided to attending participants to aid your discussion. Please download this template (link forthcoming in early 2019) and add up to 3 data, research or conceptual items, plus your company’s finalized discussion questions.
  • A flip chart will be available on site, upon request, to assist with active facilitation.
  • PowerPoint presentations are NOT allowed.

To ensure participating executives at the 2019 Summit and/or Confab have a hotel room, registered executives must book and pay for a hotel room by January 31, 2019.

If possible, we request that all approved executives from your organization register for the 2019 Summit and/or Confab by November 30, 2018.

Though the last day to register for the 2019 Summit and/or Confab is Monday, April 8, 2019, we strongly recommend that all executives, invited on your behalf to attend the 2019 Summit and/or Confab, register as soon as they are issued an emailed invitation to avoid the waitlist process.

Since Summit and Confab are invitation-only events, all participants at the 2019 Summit and/or Confab must go through the following selection process. This process allows Health Evolution to curate the best senior c-suite environment that our participants have come to expect.

  1. Partner nominates a qualified executive via the Health Evolution Partner Portal
    • Required executive information: name, title, work email address and email address for an assistant (if applicable)
  2. Health Evolution’s Community team reviews the nomination information against participation criteria (see questions 8 and 9)
  3. The nomination is either approved or additional information is requested from the nominating partner
    • Sometimes a nomination is marked as pending due to the existence of clarifying questions from the Health Evolution Community team such as title clarification, an invalid email address, etc.
  4. Once approved to attend, the nominated executive will be issued an invitation to register at the email used to submit the nomination; if an assistant email was provided, they will also be copied on the emailed invitation
    • Please note: due to certain email server settings, sometimes an executive’s email invitation is accidentally sent to their spam folder; if an executive is marked as “invited” in the Partner Portal but they haven’t received their invitation, please have them check their spam filter

Participation Criteria for Executive from Your Organization:

First and foremost, we’d love to have your CEO attend the 2019 Summit and/or Confab.

  • Companies with revenue over $200 million: CEO, C-suites/SVPs leading strategy or innovation, heads of corporate venture funds or heads of health care business units
  • Companies with revenue of $5 million to $200 million: CEO or board chair
  • Investment funds: heads of funds and most senior investment professionals in health care
  • Professional services firms: managing partner or head of health care group
  • Financial institutions: CEO or managing directors
  • Policy, academic or nonprofit organizations: department or organization heads and influential thought leaders

Participation Criteria for Executives Not from Your Organization:

  • Companies with revenue over $5 million: CEO
  • Companies with revenue over $200 million: CEO, C-suites/SVPs leading strategy or innovation, heads of corporate venture funds or heads of health care business units
  • Companies with revenue of $5 million to $200 million: CEO
  • Payer, provider and life science companies: CEO, C-suites/SVPs leading strategy or innovation, heads of corporate venture funds or heads of health care business units
  • Professional services firms and financial institutions: sponsoring companies are not able to nominate individuals from these organization types
  • Policy, academic or nonprofit organizations: department or organization heads and influential thought leaders

Participation Criteria for all Executives:

  • Payers, providers and life science companies: C-suite executives
  • Companies with revenue over $5 million: C-suite executives (excluding sales executives)
  • Professional service firms: managing director, senior partner
  • Financial institutions: the managing director or those who report directly to the managing director
  • Policy, academic or nonprofit organizations: department or organization heads and influential thought leaders

For certain partner levels, private meeting space is a benefit of your partnership; for others, it is available for an additional fee.

A private meeting space can help advance relationship development or conduct small meetings with a private meeting space. Meeting rooms are provided on a first-come, first served basis. Refreshments can be secured from the Ritz-Carlton for an additional fee; please contact your Health Evolution partner manager, James Lloyd, to help secure refreshments. Additional meeting space can be requested for a fee via the Health Evolution Partner Portal or by contacting your dedicated partner manager, James Lloyd.

Private Meeting Space

Prefer an outdoor space with a view to help advance relationship development or conduct small meetings? Then a RendezView is perfect for you! For certain partner levels, semi-private RendezView meeting spaces are a benefit of your partnership; for others, it is available for an additional fee.

Available on a first-come, first served basis, and each Adirondack grouping accommodates 3-4 people. Refreshments can be secured from the Ritz-Carlton for an additional fee; please contact your Health Evolution partner manager, James Lloyd, to help secure refreshments. Additional RendezView space is available upon request for an additional fee via the Health Evolution Partner Portal or by contacting your dedicated partner manager, James Lloyd.

Experience Laguna at its best! Retreat outdoors to a poolside cabana to create a networking experience your peers won’t forget such as food demonstrations, massages or host a relaxed semi-private meeting. Cabana Chats are available to select partners on a first-come, first served basis. Refreshments can be secured from the Ritz-Carlton for an additional fee; please contact your Health Evolution partner manager, James Lloyd, to help secure refreshments.

The Summit is the ideal relaxed, retreat environment to host an invitation-only reception. We can help facilitate on-site logistics to coordinate room reservations, meal selection, room layout and invitation strategies. Private functions are best held adjacent to the Summit or during lunch or afternoon break.

Please note the following applies to all private functions:

  • Complimentary space is available on a first-come, first served basis
  • $5,000 coordination fee applies to all private function planning; fee includes onsite logics, Ritz-Carlton coordination, print signage,  food setup, etc.
  • Food and beverage additional unless held during Summit meal period for which it’s available for a discounted rate
  • AV available for an additional fee; lighting support, such as up-lighting, spotlights, etc. are not available
  • Invitation/RSVP management available for an additional fee

The Summit and Confab swag bags have become a coveted “bonus” for participants. Known for its unique collection of upscale health, fitness and lifestyle products intended to nourish and rejuvenate or promote executive effectiveness and efficiency, the swag bag affords your company a valuable opportunity to enter the daily lives of participants in a meaningful way.

Swag bag items are sourced in one of two ways:

  1. Our team provides branding services on a select number of recommended items based on your desired item
  2. You select an item from your inventory and forward the requested quantity to Health Evolution

Recommended items include technology devices, activewear, fitness/exercise products, water bottles, health/wellness cookbooks or consumables such as vitamins or healthy snacks or novel networking tools.

Health Evolution Village Resort Locations

Hotel reservations are not automatically confirmed with the completion of a Summit and/or Confab registration. Below are the two hotels that comprise the Health Evolution Village during the 2019 Summit and Confab. Once an executive has received an invitation and completed their registration to Summit and/or Confab, we request that you book your hotel accommodation as soon as possible.

Monarch Beach Resort

Our stunning sister resort, the Health Evolution team invites you to the Monarch Beach Resort (MBR) for a luxurious stay during your time in Laguna. Perched on a golden hillside overlooking the azure waters of the Pacific, Monarch Beach Resort is Orange County’s most luxurious coastal playground. Our vibrant sanctuary offers guests an array of exclusive activities and inspiring experiences that embody Southern California’s serene coastal lifestyle.

Continuous shuttle service to and from the Ritz-Carlton will be available (5-minute transfer) or you can enjoy a beautiful 15-20 minute walk.

Airport Information

Located along Dana Point, the Ritz-Carlton, Laguna Niguel is halfway between Los Angeles and San Diego. The nearest airport to The Ritz-Carlton, Laguna Niguel is John Wayne Airport (SNA) located in Orange County, a 25-minute drive to the hotel. Other options include Long Beach Airport (LGB), a 45-minute drive, and Los Angeles Airport (LAX), a 90-minute drive (without traffic).

Ground Transportation 

Car Services

Car share (such as Lyft), taxi and sedan car services are readily available at all three commercial airports. One-way taxi fare from John Wayne/Orange County Airport is approximately $65, plus gratuity and airport fees. To pre-book a sedan, the Ritz-Carlton recommends Resolute Transportation for sedan service. They can be reached at: 877.394.2660 or www.resolutelimo.com.

Shuttle Transportation

To allow more flexibility in departure times, we will offer shuttles to Los Angeles International Airport (LAX) and to John Wayne Airport (SNA) on Friday, April 12, following the close of the Summit. Shuttles are available to participants and guests. Shuttles will run on a predetermined schedule, not individual flight times. Reservations for these shuttles are available during registration.

LAX Shuttle (allow 90-min. travel time to LAX): 11:00 am and 1:00 pm

SNA Shuttle (allow 45-min. travel time to SNA): 11:00 am

The Summit will provide shuttles to and from the Monarch Beach Resort. Shuttle schedules can be found in the Health Evolution Connect mobile app available in March 2019.

Yes, if you executive has already registered for the 2019 Summit and/or Confab but is no longer able to attend and an eligible replacement executive isn’t available, then the following Summit and Confab registration refund apply to cancellations.

Prior to February 12, 2019: 85% refund of the registration fee

Prior to March 12, 2019: 50% refund of the registration fee

On or after March 12, 2019: No refund of the registration fee
